Our shop runs on tools we already had
Payments, our calendar and our mailbox, wired together instead of replaced. No new app to learn, and no AI needed for the first win.

Most teams we talk to don’t have an AI problem. They have a copy-paste problem. The booking tool, the inbox, the calendar and the invoices each hold a piece of the truth, and somebody carries it between them by hand.
This month we had the same problem on our own site. Someone who buys in our shop has to pay, tell us what they need, and book a call with us. The usual answer is more subscriptions: a scheduling app, a forms tool, an email platform. We didn’t want another place to check.
What we already had
- Stripe, for payments.
- Our iPhone calendar, where the week actually lives.
- Our own mailbox, hello@graphiq.art.
- This website, where the shop and the booking picker live.
How it’s wired
You pay in the shop. A welcome email arrives from our own address with your next steps. You fill in a short brief. Then you pick a time, and the picker only offers slots our calendar shows as free. When you book, the meeting lands in that calendar and both sides get the invite. Nothing gets retyped, and nobody had to learn a new tool.
Our first plan was a booking app on a home server, with its own calendar. Nobody opens that calendar. So we connected the one we do use instead. That’s the whole method: start from where the work already lives.
The first win is usually plumbing. AI comes second.
Where AI fits next
Notice there’s no AI in that flow yet. Once the pieces talk to each other, an agent can take the boring middle: read an inquiry, fill in the record, draft the reply, and pass anything unusual to a person. An agent is only useful once there are systems it’s allowed to touch.
For a practice like yours
Swap our tools for yours. A booking request lands straight in your calendar, the patient gets a confirmation and a reminder, and the front desk stops copying names between screens. Same idea: wire what you already run, don’t replace it.
On the call we’ll tell you what to connect first.
